Accounting Manager

Full Job Description

Job Title: Accounting Manager

Reporting To: General Manager

Department: Administration

Using critical thinking and astute problem-solving, the Accounting Manager is responsible for the Club’s
financial management function: oversees accounting, payroll, and purchasing functions; maintains accurate
reporting of the Club’s financial position safeguards the assets and liabilities, detecting trends and heightened profit
possibilities, implements and monitors financial policies that have been approved by the Board of Directors;
is a member of the Senior Management Group and provides liaison between Senior Management and the Finance Committee.

The Accounting Manager will be expected to demonstrate the embodiment of integrity, discipline, and dedication of the very best professional management and leadership practices.

Manages Club’s Finances

  • Manages the financial function of the Club
  • Reports to the General Manager
  • Oversees Accounting, Payroll, Purchasing and Receiving Functions
  • Informs and advises other department heads about the financial aspects of their responsibilities
  • Works with Club’s external auditors to ensure that procedures are consistent with Club policies
  • Monthly Cash Flow reports

Safeguards the Club’s Assets and Liabilities

  • Obtains insurance to cover liabilities
  • Ensures compliance with all relevant laws and regulations to avoid fines
  • Collects money owed by members and restricts member balances
  • Ensures that Directors’ liability insurance is maintained
  • Submits reports to the Finance Committee and Board of Directors on fulfillment of responsibilities of Permanent, Full Time, Salaried Employees

  • Produces monthly financial reports and provides additional information and clarification to the Senior Management Team and Finance Committee; provides related advice
  • Monitors and investigates budget variances, highlighting issues/achievements affecting the bottom line
  • Reviews balance sheet accounts monthly; brings to the General Manager’s attention any issues with an impact on the Club’s assets and liabilities
  • Streamlines accounting procedures to reduce operating costs and staff/member dissatisfaction
  • Prepares draft annual financial statements for review by the external auditors
  • Ensures HST remittances are submitted on time
  • Prepares the income tax return as well as the annual EHT and WSIB returns
  • Interacts with the Club’s external accounting (CPA) firm as necessary.


  • Oversees bi-weekly payroll and transfers direct deposit data
  • Ensures compliance with statutory reporting requirements for T4’s and T4A’s
  • Ensures remittances of withholding taxes, EHT and WSIB premiums are submitted on time
  • Ensures compliance with the Employment Standard Act, in consultation with the Human Resources Manager

Receivables and Collection

  • Reviews account receivable trial balance each month and notify members whose outstanding balances are more than 60 days overdue
  • Communicates with members when their signing privileges are suspended
  • Liaises with collection agencies hired to recover Club funds
  • Prepares the dues and fee list based on the budget approved by the Board
  • Coordinates the process of sending annual dues notices to members as per the Club’s By-Laws
  • Oversees member billing and collection procedures
  • Audits member's and guests’ charges; check cash sheets to ensure that all receipts from member’s accounts have been posted 
  • Oversees development of purchasing policies and procedures
  • Oversees records management for the purchasing function

Administers Banking Function

  • Is the Club’s point person for all dealings with the bank
  • Reviews the monthly bank reconciliation and address any unresolved issues promptly
  • Manages the cash flows to minimize interest charges
  • Negotiates loans on behalf of the Club
  • Meets bank’s quarterly compliance reporting requirements as per loan agreement
  • Invests any excess funds in accordance with the Club’s investment policy
  • Negotiates and administers employee benefits including health and life insurance, pension plans and workers compensation; gathers information and assists the General Manager in making decisions about employee benefit plans; Monitors Capital Expenditures
  • Reviews all price quotations for projects tendering out and discusses with Senior Management
  • Monitors all payments against the budget
  • Prepares reports to General Manager, Finance Committee and Board of Directors
  • Administers Group Benefits and Pension Plans
  • Coordinates activities with the consultants, investment managers and service providers
  • Ensures compliance with statutory reporting requirements, e.g., technical reporting to the Financial Services Commission of Ontario for the pension plan managers and Coordinates Budget Process
  • Reviews departmental budget proposals with General Manager and Senior Managers verifying the taking of inventories for beverages, food, supplies, equipment, furnishings, and other club assets.
  • Advises departmental managers to ensure their budget requests are reasonable
  • With General Manager, makes a recommendation to the Finance Committee for salary increases
  • Provides salary increase guidelines to General Manager; monitors payroll increases to ensure they comply with the guidelines
  • Completes draft budget package and presents it to the Finance Committee
  • Works with General Manager and departmental heads to plan and manage capital budgets and cash flow system

Equipment Manager/Mechanic

Job Description

Job Title: Equipment Manager/Mechanic

Reporting To: Grounds Superintendent

Department: Greens & Property


The Equipment Manager/Mechanic position at Peterborough Golf and Country Club is a full-time, year-round position with competitive salary and benefits package.  The successful candidate will be responsible for all equipment at the property, including repairs, preventative maintenance, inventories, record keeping and assisting other managers with training and safety of staff operations.  We are seeking a professional individual, who strives for excellence and brings a positive attitude to the team and can demonstrate leadership qualities.  The position also requires the individual to work closely with the Golf Course Superintendent and Assistant Superintendent towards providing the best playing conditions and future capital investments.


  • Minimum 3 years experience in related position within golf industry
  • Understands the diagnostics and operations of gasoline and diesel engines
  • Knowledge of mechanical and electrical systems
  • Experience in hydraulic troubleshooting and maintenance
  • Experience with air cooled engines (chainsaws, string trimmers, etc)
  • Familiar with Foley grinding equipment for maintenance of reels
  • Welding skills (acetylene and electric)
  • Knowledge of Toro, John Deere, Jacobsen turf equipment
  • Familiar with word, excel and outlook

Duties and Responsibilities

  • Implement a preventative maintenance plan to all turf equipment and golf cart fleet to ensure top performance
  • Repairs to all equipment and golf cart fleet
  • Maintain adequate parts and supplies with record keeping of all expenses, services, repairs with up-to-date inventories
  • Understands importance of quality of cut and height of cut on all playing surfaces
  • Involved in safe operations of equipment with all staff and can work within Clubs health and safety guidelines
  • Well organized with an emphasis on detail and cleanliness in relation to equipment and maintenance shop
  • Keeps a professional and positive attitude with members, guest and staff
  • Results driven and can adapt to a changing environment
  • Assist the Superintendent in future investment decision making
  • Monitor fuel levels and ensure proper disposal of hazardous waste

Working Conditions

  • May be subject to work in all weather conditions
  • Must be able to lift in excess of 50lbs.
  • Can be labour intensive periodically in a loud environment
  • The position may require operation of equipment during shoulder season
